What this calculator counts
Three costs, because those are the three that actually differ between platforms at the same team size:
- Subscription. The cheapest plan that genuinely seats your technicians, in the billing cycle you pick — including per-extra-user fees where a plan includes fewer seats than you need. Plans that cap out below your headcount are excluded rather than quietly extended, so nobody gets shown a tier they can't actually buy.
- Card-processing fees. The cost most comparisons omit, and the one that decides the answer at volume: a 0.4-point spread on $80k/month is $320 a month, which dwarfs most subscription differences. Where a vendor publishes no rate we model an industry-standard 2.9% + $0.30 rather than a free $0, so an undisclosed rate can never look like an advantage.
- Setup and implementation. Charged once, in year one. This is what makes the three-year view worth reading — a platform with a four-figure onboarding fee can still be the cheaper choice by month 30, and the chart shows you exactly where the curves cross.
